Position summary
The Program Manager runs league operations across all four territories during the week. The role manages part-time staffing, venue operations, coach recruitment, and family communication, and prepares the weekend team to run game days without the Program Manager on site.

Each week, the Program Manager turns weekend results into a Monday report, then builds the next weekend's action plan from staff reports, email, and follow-up.

Key responsibilities

Staffing and hiring
Recruit, hire, and onboard part-time field staff across all four territories, and bring on part-time staff for other roles as needs arise.
  • Manage the full hiring and compliance process: job postings, the applicant pipeline, background checks, I-9 Work Authorization forms, and confidentiality agreements.
  • Assign and track required virtual training, and schedule new staff for in-person training. In-person training is led by other staff.
  • Build and maintain staff schedules in Connecteam, track call-outs, and adjust coverage on an ongoing basis.
  • Maintain regular contact with staff and site managers.
Venue and league operations
Ensure every venue has the correct program setup and all required documents uploaded.
  • Keep rule books and practice plans current and uploaded.
  • Maintain venue maps, venue notes, and opening- and closing-day notes for staff and families.
  • Ensure all staff are proficient with the Game Day app.
Coach recruitment and support
  • Maintain a complete coach roster: head and assistant coaches, team parents, and recruitment status before and during seasons.
  • Ensure coach recruitment calls are handled across the team, and dedicate time each day to personal recruitment calls and follow-up with coaches in the recruitment process.
  • Send coach communications before, during, and after each season.
  • Answer the coaches hotline (calls, voicemails, and texts) and route inquiries to the appropriate staff.
Family communication and issue resolution
  • Respond to family emails and messages promptly.
  • Call parents directly to resolve issues, document each outcome, and present a recommended plan to the Athletic Director for confirmation.
  • Communicate the confirmed plan of action to weekend staff for each situation.
  • Follow up with staff after each weekend on the results of those action plans.
Weekly action plan and weekend handoff
  • Own the weekly planning cycle:
    • Monday: consolidate staff, quality control, and coordinator reports into the Monday summary, delivered to leadership by 10:00 AM.
    • Tuesday–Thursday: use email, follow-ups, and feedback to assess each venue and develop the next weekend's action plan.
    • Friday: deliver a written weekend game plan to each Game Day Operations Coordinator and hold a prep meeting with each one to review roles and expectations.
  • Included in each game plan: staff assignments by venue, backups, flexible staff, schedule changes and bye weeks, and open action plans by venue.
  • Set up Friday tasks, on-my-way tasks, and site manager logs.
  • Ensure every staff weekend report addresses that week's action plan at each venue where one is in place.
Qualifications
Required
