Job Summary

The Junior Program Director – Office Operations & Customer Service is a highly organized, technology-focused support role that works closely with the Program Director and Director of Operations to help manage the day-to-day operations of our youth sports programs.

This position is primarily email, phone, customer service, and office-management focused during the week. The Junior Program Director will help ensure families receive fast, professional, accurate, and friendly communication while supporting registrations, program setup, rosters, schedules, staffing, and other administrative needs.

The ideal candidate is an excellent written communicator, types quickly and accurately, is comfortable learning new technology, and can manage a high volume of emails and phone calls while staying organized.

On Saturdays, this role transitions to an on-site operational position at our fields and gyms, interacting directly with parents, players, coaches, and staff and helping ensure programs run smoothly.

This is a great position for someone who enjoys customer service, technology, organization, youth sports, and being part of a fast-moving team.

Tuesday: 8:00 AM – 4:00 PM | Work From Home
Wednesday: 8:00 AM – 4:00 PM | In Office
Thursday: 8:00 AM – 4:00 PM | In Office
Friday: 8:00 AM – 4:00 PM | In Office
Saturday: 7:00 AM – 3:00 PM | On-Site at Fields/Gyms
Sunday: Off
Monday: Off

Candidates must be able to consistently work the full schedule, including Saturdays.

Primary Responsibilities

Email, Phones & Customer Service

  • Serve as one of the primary points of contact for i9 Sports families through email and phone communication

  • Manage a high volume of customer emails efficiently, accurately, and professionally

  • Respond to parent questions regarding registrations, schedules, rosters, programs, uniforms, locations, policies, and other league information

  • Answer incoming phone calls and provide friendly, knowledgeable customer service

  • Maintain excellent email, phone, and customer-service etiquette

  • Escalate complex customer situations to the Program Director or Director of Operations when appropriate

  • Follow up with families to ensure questions and concerns are resolved

  • Communicate professionally with parents, coaches, staff members, facility partners, and community members

  • Maintain a calm, positive, and solutions-focused attitude when working with upset or frustrated customers

Office & Administrative Management

  • Assist with the daily administrative operations of youth sports leagues, camps, and clinics

  • Help maintain organized files, documents, spreadsheets, registration information, and program records

  • Assist with data entry and reporting using Microsoft Excel, Google Sheets, and other technology platforms

  • Help create and update rosters, schedules, team assignments, and program information

  • Review registrations and customer accounts for accuracy

  • Assist with preparing programs for upcoming seasons, camps, clinics, and events

  • Help monitor registration numbers, staffing needs, coach needs, and program capacity

  • Maintain organized office supplies, equipment, uniforms, and program materials

  • Assist the Program Director and Director of Operations with administrative projects and daily priorities

  • Complete assigned tasks accurately and within established deadlines

Technology & Program Support

  • Become proficient in i9 Sports systems and technology platforms

  • Quickly learn new software, websites, apps, and internal processes

  • Use Microsoft Office, Excel, Google Workspace, email platforms, registration systems, and other business technology

  • Troubleshoot basic technology or customer account issues

  • Assist with building and preparing programs within company systems

  • Help create rosters, schedules, communications, reports, and operational documents

  • Maintain accurate customer and program information across multiple systems

Saturday Game-Day Operations

  • Work on-site at assigned fields and gyms each Saturday

  • Assist with setup and breakdown of equipment and program materials

  • Welcome and interact professionally with parents, children, coaches, and staff

  • Help ensure game-day operations remain organized, safe, positive, and on schedule

  • Assist with customer questions and concerns on-site

  • Support staff and volunteer coaches as needed

  • Help maintain i9 Sports brand standards at all locations

  • Assist with resolving operational issues as they arise

  • Promote a fun, positive, and welcoming environment for children and families

Qualifications

  • Excellent written communication skills with strong spelling, grammar, and professional email etiquette

  • Strong and accurate typing skills with the ability to respond to emails efficiently

  • Previous customer service experience strongly preferred

  • Comfortable answering phones and communicating professionally with customers

  • Strong technology skills and the ability to quickly learn new systems

  • Working knowledge of Microsoft Office, particularly Excel, and/or Google Workspace

  • Excellent organization and time-management skills

  • Ability to manage multiple tasks, emails, phone calls, and priorities throughout the day

  • Strong attention to detail and accuracy

  • Positive, professional, and customer-focused attitude

  • Strong interpersonal skills and ability to interact effectively with both adults and children

  • Ability to work independently while also being a strong team player

  • Ability to follow established processes and procedures

  • Comfortable asking questions when clarification is needed

  • Able to receive coaching, direction, and constructive feedback positively

  • Willingness to learn and continuously improve

  • Interest in youth sports, recreation, operations, or program management is a plus

  • Must be able to pass a National Criminal Background Check

Physical Requirements

This position includes both desk-based administrative work and active Saturday game-day responsibilities.

Candidates must be able to:

  • Sit at a desk and work on a computer for extended periods of time

  • Regularly use a computer, keyboard, mouse, and telephone

  • Stand and walk for extended periods during game-day operations

  • Bend, kneel, reach, and move equipment as needed

  • Lift and carry up to 50 pounds

  • Work indoors and outdoors depending on the assigned program location

  • Work in varying weather conditions during outdoor programs

  • Perform setup and breakdown responsibilities at fields and gyms

Compensation: $38,000.00 - $45,000.00 per year
