Part-Time Staffing & Scheduling Coordinator
Employment Type: Part-Time
Compensation: $18–$22 per hour
Expected Hours: Approximately 8–12 hours per week, with additional hours during seasonal hiring and scheduling periods
Location: East Columbus / Gahanna, Ohio area
Schedule: Flexible; some evening and weekend availability may be required during active sports seasons
- Build and maintain a year-round pipeline of potential coaches, referees, coordinators, and site managers.
- Post positions on job boards, social media, schools, community groups, and other recruiting sources.
- Review applications and identify qualified candidates.
- Conduct initial candidate communications and interviews.
- Follow up with applicants throughout the hiring process.
- Reconnect with strong former employees and coaches before each season.
- Maintain a pool of qualified backup staff.
- Assist with creating staff schedules across multiple sports and locations.
- Match employees to positions based on availability, experience, qualifications, and location.
- Communicate schedules and assignments to staff.
- Monitor availability and identify potential staffing gaps before they become problems.
- Handle schedule changes and help find replacements for call-offs.
- Maintain accurate staffing and scheduling records.
- Help new employees complete required hiring paperwork and background checks.
- Communicate expectations, pay rates, schedules, and job responsibilities.
- Coordinate training and ensure new employees are ready before their first shift.
- Maintain accurate employee information and availability.
- Maintain regular communication with coaches, referees, coordinators, and site managers.
- Follow up with employees regarding availability and scheduling.
- Track reliability, attendance, and staff performance.
- Identify dependable employees who may be ready for additional responsibility.
- Help create a positive staff experience that encourages employees to return season after season.
- Review upcoming program schedules and registration numbers to identify staffing needs.
- Develop staffing plans for upcoming seasons.
- Begin recruiting well before each season begins.
- Maintain an active pipeline of potential employees even when positions are not immediately open.
- Help ensure every program and location has adequate staffing before opening day.
- Highly organized and detail-oriented.
- A strong communicator who is comfortable talking with applicants and employees.
- Proactive and able to identify problems before they become emergencies.
- Comfortable managing multiple priorities at the same time.

- Comfortable using email, text messaging, spreadsheets, and online systems.
- Able to work independently while also collaborating with the Program Director and Site Managers.
